The custody chain is the product
Anyone can move a box between two addresses. What healthcare organizations actually buy is the ability to prove what happened to it, and that is what the whole operation is built around.
Four steps, and a record at every one
The custody chain is not a feature we bolt on. It is how the whole operation runs.
01
Request
Call or email dispatch. STAT requests go straight to a dispatcher, not a queue.
02
Dispatch
The nearest qualified courier is assigned and routed. You get a name and an ETA.
03
Custody
Documented custody at every handoff, with temperature controlled where the commodity requires it.
04
Proof
Signature, photo and timestamp close the loop, and stay in your audit record.
Five events, recorded on every package
A custody record with a gap in it is not a custody record. These five events happen on every job, not on request.
- Recorded at pickupCustody is recorded at the point of collection, with the time and the courier identity attached to the record immediately.
- Recorded at every transferIf a package changes hands, both couriers sign for it. There is no point in the journey where possession is undocumented.
- Temperature controlled in transitWhere the commodity requires it, validated packaging holds the temperature band for the whole run.
- Signature and photo at deliveryThe recipient signs, the courier photographs the handoff location, and both attach to the same record.
- Exportable audit recordThe complete chain is exportable on demand, so an audit request is a download rather than a reconstruction project.
Why it matters
The question is never whether the package arrived. It is whether you can prove it.
Every operations manager we speak to has a version of the same story: a specimen that went missing, a delivery a patient says never came, an auditor asking for records that were never captured. A complete custody chain turns each of those from an argument into a lookup.
- Defensible in an audit
- Resolves disputes in seconds
- No reconstruction after the fact
Reliability, visibility and control
Three things every medical courier is judged on. Here is exactly how each one is delivered.
Compliance & Visibility
Every package carries an unbroken, documented record from the moment it leaves your counter.
- Documented custody at pickup, transfer and delivery
- Photo and signature proof on every stop
- Full chain-of-custody record available for audits
- Monthly performance and exception reporting
Reliable Operations
The courier at your door has been screened, trained and audited against the same standard every time.
- Background-checked, drug-screened couriers
- Medical handling and bloodborne pathogen training
- HIPAA training and signed confidentiality agreements
- A named courier, with a trained backup who knows your route
Visibility & Reporting
You always know where a package is and what happened to it, without chasing anyone.
- Live delivery status for your staff
- Patient notifications on home delivery
- Proof of delivery returned on every job
- Monthly reporting on windows and exceptions
Who actually turns up at your door
The courier is the whole service as far as your staff are concerned. Every one of them clears the same bar before their first route and stays audited afterwards.
- Criminal background check before first route
- Drug screening at hire and randomly thereafter
- HIPAA training and signed confidentiality agreement
- Bloodborne pathogen and safe handling certification
- Vehicle inspection and appearance standards
- HIPAA training and signed confidentiality agreements

Questions we get before every contract
How do I schedule a pickup?
Call or email dispatch. You will get a confirmation and a courier name back, usually within minutes. Standing routes are set up once and simply run.
How quickly can a STAT courier reach me?
A qualified courier is assigned within 45 minutes of a STAT request anywhere in our Northeast Ohio service area. You receive the courier name and an ETA as soon as the assignment is made.
Are your services HIPAA compliant?
Yes. Every courier completes HIPAA training before their first route and signs a confidentiality agreement, and we execute Business Associate Agreements with covered entities.
What can you transport?
Laboratory specimens, pharmaceuticals, surgical instruments and implants, medical records, equipment and general clinical supplies. If you have an unusual commodity, ask, and we will tell you plainly whether we can handle it.
How do you handle temperature-sensitive shipments?
We handle ambient, refrigerated (2 to 8°C) and frozen (minus 20°C) transport using validated packaging matched to the commodity and the length of the run. The temperature requirement is recorded on the delivery and condition is confirmed at handoff.
Can I track deliveries in real time?
Yes. Every package has a status and an ETA, and patients can be notified on home deliveries. Proof of delivery is returned to you on every job.
What does chain of custody actually mean here?
Documented custody on every run: each handoff is logged and timestamped against the courier who held it, and signature and proof of delivery close the record at drop-off. The result is a continuous account of who had the package and when, which is what an auditor or a disputed delivery actually turns on.
Do you offer dedicated or scheduled routes?
Yes. Scheduled routes run on a fixed daily, weekly or custom cadence with a named courier assigned to your sites and a trained backup who already knows the route.
Which areas do you serve?
Northeast Ohio: Cleveland, Cleveland Heights and Cuyahoga County, Akron and Summit County, and the surrounding counties. We are local by design, so the same courier handles your run start to finish. If your address sits just outside, call dispatch anyway.
Why choose NovaMed Express over a national carrier?
National carriers consolidate your package into a general network built for parcels. We run a medical-only network: couriers trained on your commodity, custody documentation designed for audits, and a dispatcher who answers the phone.
Tell us what you move. We will tell you how we would move it.
No obligation and no scripted pitch. A dispatcher who knows medical logistics will walk your routes with you.
